How does the Online Ballot feature work on ADDA?

1. What is the Online Ballot feature?
Online Ballot is a digital election solution used for conducting Management Committee (MC) or Executive Committee (EC) elections.

It complements the Physical Poll process and enables members unable to vote in person to securely exercise their voting rights.

2. How can we activate the Online Ballot feature?
Online Ballot is an add-on feature available at an additional cost of ₹15,000 + GST.

To activate the feature, please write to support@adda.io.

3. What happens after payment is completed?
Upon receiving payment, our team will create a separate ADDA instance (Election Portal) exclusively for conducting the election process.

4. Who should be added to the Election Portal?
Only registered owners should be added to the Election Portal.

This ensures:
  1. Only one authorized representative per unit can vote
  2. Proper compliance and controlled participation

5. What are the types of Online Ballots available?
There are two types of Online Ballots:

Election Type 1 – Post-Based Election
Used when nominees are contesting for specific posts (e.g., President, Treasurer, Secretary).

Election Type 2 – Member Selection
Used when selecting committee members without assigning specific posts.

Workflow: Election Type 1 (Post-Based Election)
Go to Online Ballot  >> Click on Election Type  >> Enter the Ballot Nam >> Enter the Post(s) and select Nominees >> Configure necessary settings >> Add Description/Instructions >> Enter Start and End Dates >> Click Create Ballot

After Creating the Ballot:
  1. Trigger an Announcement to inform owners about the election
    (Help guide: Post Announcement )
  2. Publish the ballot: Go to Online Ballot >> Select the Ballot >> Click Edit >> Enable Publish Ballot >> Click Save
After the ballot expiry date:
  1. The ballot closes automatically.
  2. The Election Officer can view results and available reports.
Workflow: Election Type 2 (Member Selection)
Go to Online Ballot >> Click on Election Type 2 >> Enter the Ballot Name >> Select Nominees >> Configure necessary settings >> Add Description/Instructions >> Enter Start and End Dates >> Click Create Ballot

After Creating the Ballot:
  1. Trigger an Announcement to owners
  2. Publish the ballot under Online Ballot → Select Ballot → Edit → Enable Publish Ballot → Save
After the expiry date:
  1. The ballot closes automatically.
  2. The Election Officer can access results and reports against Election.
  3. If required to close and delete the Election Portal after result finalization, please write to support@adda.io.
