How to Remove or Update Approvers in an Existing Community Form?


If a Community Form was configured with one or more approvers who are no longer part of the community or are no longer responsible for approvals, any pending form submissions may remain stuck waiting for their approval.
To resolve this, you can edit the Community Form and remove or update the approvers. Once the form is republished, future approvals will follow the updated approval workflow.

Steps to Remove or Update Approval

  1. Log in to the ADDA Admin Portal.

  2. Navigate to AdminCommunity Forms.

  3. Click Setup.

  4. Under Setup Community Forms, locate the form you want to update.

  5. Click Edit next to the required form.

  6. Scroll down to the Admin Approval section.

  7. Remove the approver(s) who are no longer required by clicking the X next to their name.

  8. If needed, update the approval hierarchy by removing or changing the approvers configured in Level 1 (L1) or Level 2 (L2).

  9. Scroll to the bottom of the page.

  10. Select Yes, I want to publish this form.

  11. Click Publish to save the changes

The approval workflow will be updated with the new approvers. Any future form submissions will follow the revised approval flow and will no longer wait for approvals from users who have been removed.

NotesNote: If there are existing submissions already waiting for approval from a removed approver, review those submissions after updating the form to ensure they continue through the updated approval process.
