If your Association has facility venues like a Yoga Room or Dance Room that residents can book, but also want to reserve certain slots for tutors teaching yoga and dance, you can follow these steps to block off the slots for the tutors. This ensures that the slots are reserved for the classes and not available for general booking by other residents.
Part A- Setting up Facility
Step 1: Login to ADDA >> Click on ‘Admin’ >> Facility and Activity >> Setup >> Facility.
Step 2: Click Add Facility. A separate window pops up and you can add the Facility details (Booking Cost, availability by slot, Facility Income Account, Auto Cancel Booking, Instructions).
Step 3: Click Add Facility.
Part B- Setting up Tutor slots in Activity
Step 1: Login to ADDA >> Click on ‘Admin’ >> Facility and Activity >> Setup >> Activity
Step 2: Click on Add Activity. Enter the required information of Activity name, Date and time (you can choose either a One-time class or a Regular class), and Venue. For the Venue, select the facility you created in Part A.
Important Note:
For a One-time class, add the Date and Time. Make sure the activity's slots match the facility's slotscreated in Part A. For example, if the facility slot is from 10:00 AM to 10:30 AM, the activity slot should also be 10:00 AM to 10:30 AM.
For a Regular class, add the Start Date and End Date, and specify the time slots (same rule as for a one-time class).select the days of the week the class will occur. If you need to add multiple slots for the class, use the green (+) button to add more.
Now when residents try to book a facility slot that has been reserved for a tutor, the ADDA app will prevent them from booking that slot.
To inform residents about why certain slots are blocked, you can provide a reason on the facility's "Instructions" page when setting up the facility. This will help residents understand the availability and purpose of the reserved slots.
