How can admins set up and use Flexi Amenity in ADDA to avoid booking conflicts?

What is Flexi Amenity?
Flexi Amenity allows you to manage one physical space for multiple activities by linking one Super Amenity (parent) with one or more Sub Amenities (child). This ensures bookings are automatically coordinated and no conflicts happen.

Why should I use this feature?
Use this feature when the same space is used for different activities (e.g., Tennis and Pickleball). It helps:

  • Avoid double bookings

  • Reduce manual work

  • Show clear availability to residents

How does booking work?

  • If the Super Amenity is booked → all overlapping Sub Amenity slots are blocked

  • If any Sub Amenity is booked → the Super Amenity slot is blocked

  • Availability updates automatically when bookings are cancelled

How to set up a Flexi Amenity?

  1. Go to ADDA Portal → Click on Admin → Amenities & Events → Setup → Flexi Amenity Manager

  2. Click on Create Flexi Amenity

  3. Select one Super Amenity

  4. Select one or more Sub Amenities

  5. Click Create

Important setup note
Amenities must be created first in the system.
Only after creating amenities, they will be visible and selectable in the Flexi Amenity setup.

What are the rules for setup?

  • Only slot-based amenities are allowed

  • One Super Amenity and at least one Sub Amenity is required

  • The same amenity cannot be part of multiple Flexi setups

  • Amenities must belong to the same block (if block setup is enabled)

  • Setup will fail if there are overlapping bookings

Example to understand how it works

Let’s say your community has one Tennis Court that can also be used as two Pickleball Courts.

  • You set:

    • Tennis Court → Super Amenity

    • Pickleball Court 1 & 2 → Sub Amenities

Scenario 1:
A resident books Tennis Court from 6–7 PM
→ Both Pickleball Court slots during this time become unavailable

Scenario 2:
A resident books Pickleball Court 1 from 6–6:30 PM
→ Tennis Court (6–7 PM) becomes unavailable for booking

Scenario 3 (Cancellation):
If the Pickleball booking is cancelled
→ Tennis becomes available again (only if no other overlapping bookings exist)

This ensures:

  • No conflicts at the same space

  • Clear visibility of available slots

  • Smooth experience for both admins and residents

Can I edit or delete a Flexi Amenity?
No, if there are active or upcoming bookings.
You must cancel bookings first.

Will residents see any change?
No. Residents will continue booking normally.
The system automatically manages availability in the background.
